Process mapping is the discipline of capturing how work actually moves through an organisation — the steps, the decisions, the handoffs between teams, and the systems that touch each piece of work along the way. A process map turns a verbal description (“the analyst reviews the application, then ops checks for KYC flags, then approval routes to the senior underwriter”) into a single artefact that operations, compliance, engineering, and auditors can all read the same way.
Business analysts, process improvement teams, and management consultants spend a meaningful share of their week on process work. They map current state to find waste and audit gaps; they map future state to specify how a new system, regulation, or restructure should run; they map both to document standard operating procedures, train new joiners, and onboard auditors quickly. The output is rarely the diagram itself — it is the conversation the diagram makes possible.
The notation most enterprises standardise on is BPMN — Business Process Model and Notation, an ISO/IEC standard maintained by the Object Management Group. BPMN is the format auditors and regulators ask for because its symbols are unambiguous: an exclusive gateway means exclusive, a message flow crosses a pool boundary, and a sub-process collapses or expands the same way in every tool that implements the spec. Related notations like swimlane diagrams and SIPOC diagrams serve adjacent purposes — assigning responsibility across roles, or framing inputs and outputs at the start of a Six Sigma engagement — but BPMN is the one that survives the audit.
The historic problem with BPMN is speed. A senior analyst dragging shapes around a canvas in legacy tooling can spend three to five days on a single end-to-end process; multiply that by a hundred processes in a typical regulated business and process documentation becomes a programme, not a task. AI changes the economics: a generative model that understands BPMN semantics can turn a paragraph, a meeting transcript, a screenshot of a whiteboard, or a procedure document into a valid BPMN diagram in seconds, ready for the analyst to refine rather than build from scratch.
